Calling Families Within 24 Hours of a Booking – What to Say and Ask
At Helpr, we ask our sitters to give families a call within 24 hours of accepting a care booking. We 100% understand this can feel intimidating—talking to someone you’ve never met before can bring on some anxiety. But the good news? This quick call will make the care job more comfortable for everyone. Plus, making the call is a lot easier when you have a script to follow, like the one we’ve outlined below:
1. Introduce Yourself:
Start with a friendly greeting.
Example: "Hi, this is [Your Name]. I’m your Helpr sitter for [Day of the Booking]. I just wanted to introduce myself and connect with you."
2. Confirm the Care Date and Time:
Double-check the booking details to ensure you’re both on the same page.
Example: "I see the booking is scheduled for [Date] from [Start Time] to [End Time]. Does that still work for you?"
3. Ask About the Children’s Needs:
Get to know the kids and their routine to be better prepared.
Example: "Can you tell me a bit about the children I’ll be caring for? Do they have any specific routines, preferences, or things they enjoy?"
4. Check for Any Special Instructions:
It’s important to ask if there’s anything you need to be aware of.
Example: "Are there any allergies, medical conditions, or special instructions I should know about?"
5. Offer Reassurance:
End the call by letting the family know you’re looking forward to working with them.
Example: "Thanks for the information! I’m excited to work with your family and will make sure everything goes smoothly. If you need anything else before [Day of the Booking], feel free to reach out!"
Quick Checklist for the Call:
Introduce yourself and confirm the date and time of the booking.
Ask about the children’s routine and preferences.
Check for any allergies, medical conditions, or special instructions.
Reassure the family and confirm excitement for the job.
Take a Breath, and Be Yourself
Remember, no one expects perfection. Families just want to know that you're a reliable, caring individual who will look after their children with attention and heart. By taking the initiative to reach out, you’re already making a great first impression and setting the tone for a positive experience.
While the script is there to guide you, don’t be afraid to let the conversation flow naturally. These are simply suggestions to help you if you feel uncertain. And if there are any specific details you’re unsure about—like drop-off or pick-up instructions, or even where to park—this is your moment to ask. Just be yourself, listen attentively, and approach the conversation with confidence!
